Cancellation and Refund Policy

01. Overview Transparent Cancellation Commitment

At Hotel Meghdoot & Resort, we understand that travel plans to the holy city of Ujjain may sometimes change due to unforeseen personal, professional, or spiritual circumstances. We endeavor to offer clear, transparent, and fair cancellation and refund terms while maintaining operational preparedness across our 196 rooms and suites.

This policy applies to all direct bookings initiated via our official website (meghdootresorts.com), telephone reservations, WhatsApp desk, and front office reservations.

02. Room Booking Cancellations Standard Room Cancellation Windows

For standard individual room bookings (up to 4 rooms), our cancellation structure is defined as follows (relative to the scheduled check-in time of 14:00 hrs IST):

03. Peak & Festive Dates Auspicious Periods, Mahashivratri & Shravan

During peak religious occasions and festive dates in Ujjain, demand is extremely high and inventory is blocked well in advance:

• Applicable Dates: Mahashivratri, Shravan Month Somwar (Mondays), Nagchandreshwar Darshan, Kartik Mela, New Year period (Dec 25 - Jan 2), and Government-designated holidays.
• Cancellation Policy for Peak Dates: Reservations for these dates require a 100% advance deposit and are strictly non-refundable and non-amendable within 7 days of scheduled arrival.
• Any cancellations made more than 7 days prior to peak dates are subject to a minimum 25% administrative retention charge.

04. Rescheduling Date Modification & Booking Amendments

• Guests wishing to change their stay dates may request an amendment up to 48 hours before check-in without penalty.
• All date amendments are strictly subject to room availability on the newly requested dates and applicable seasonal tariff differences.
• A booking may only be rescheduled once. Once rescheduled, the reservation becomes non-refundable.

05. Events & Group Stays Weddings, Banquets & Yatra Groups

• Wedding Lawns & Banquet Halls: Advance token deposits paid to block wedding lawns, Imperial Hall, or Grand Ballroom dates are strictly non-refundable due to exclusive venue reservation.
• Group Bookings (5+ Rooms): Cancellations must be communicated in writing at least 15 days prior to arrival. Cancellations made within 7 to 14 days incur a 50% retention charge; cancellations within 7 days incur a 100% retention charge.
• Catering Advance: Food & beverage catering deposits for events are non-refundable within 10 days of the scheduled function.

06. Refund Process Refund Processing Timelines & Mode

All approved refunds are handled professionally and transparently:

• Method of Refund: Refunds will be credited exclusively back to the original mode of payment (Credit Card, Debit Card, Net Banking, or UPI account used during the initial transaction). No cash refunds are provided for digital transactions.
• Processing Timeline: Hotel Meghdoot initiates approved refunds within 24 to 48 working hours. Depending on your issuing bank or payment network (Visa, Mastercard, RuPay, UPI), the credited amount typically reflects in your account within 5 to 7 business days.
• You will receive an automated refund confirmation email and transaction reference ID once processed.
